What Are Notes?

You use the Notes functionality to search, add, view, filter, and print notes. You use the Notes option on the Ct Mgmt (Contact Management) menu to view notes that were added from other areas, such as Contact Management, Provider, Member, and TPL.

Notes can be accessed two different ways:

You can only search for notes from the global Notes page accessed from the Ct Mgmt menu that has a Search Notes panel. There is no search capability for notes within a specific record. Using the Search Notes panel, you can search for notes for member, provider, and TPL carrier records that are associated with contact management records. For example, you might have notes regarding frequent reports or calls by a member. These notes would be captured on a record.

Note: All notes added for a particular entity are listed in the Notes History section. You do not need to search for notes when working with contact management, member, provider, or TPL records.

Every note has a Usage Type Code that defines where a note is created in the system. For example, if the note was created in a case record, then you would select Case Record as the Usage Type Code. You can create notes at the header level (for the whole record) or at a detail level such as notes for a section of a record. The items in the usage type code field are based on a pre-defined list.

You use the Filter option to narrow the notes displayed in the Notes History section. For example, you can narrow notes by user ID (the person that created the note), usage type code, begin date, and end date.

You can only add a note when you access the Notes page from the Notes link on a record. When you save a note for a record, it is added to the Notes History section. The most current note is always displayed at the top of the list. You cannot edit saved notes.

Note: You can enter up to 4000 characters of text in the Notes field.
