How to Edit Budget Data

You use the Budget Inquiry function to enter budget information into ND MMIS at the beginning of the State's biennium fiscal period. Once a budget has been entered, it can be edited during the period to increase or decrease budget amounts or change funding sources and/or percentages.

Optionally you can:

• Add a budget line.
• Delete or void an entire budget line.
• Delete or void a fund code or a funding source from a budget line.
• View audit details. To retrieve audit information, close any open panels and, on the action bar, click Audit Log. To view the details for a particular record, click Audit.
• View or add notes. To view or add notes for this record, on the action bar, click Notes.

• Reset your entries. To display the information on the page or panel as it appeared when you last clicked Save, click Reset.

• Cancel your entries. To close the page or panel without saving your changes, click Cancel.

To edit a budget

1. On the Financial menu, click Budget Inquiry.
2. Search for the budget you want to edit.
3. On the Budget Data page, in the Budget Data panel, complete the fields.
4. To add or edit fund code information, in the Associated Fund Codes/COS panel, do the following:

   1. In the Associated Fund Codes/COS panel, do one of the following

      • To add, click Add Fund Code.
      • To edit, in the Fund Code Detail table, click the appropriate row.

   2. In the Fund Code panel, complete the fields.

      Note: There must be at least one fund code per budget line.

   3. To store the information in the table, on the Fund Code action bar, click Save.

5. To add or edit funding source information for the fund code displayed in the Fund Code panel, do the following:

   1. In the Fund Code panel, do one of the following:

      • To add, click Add Funding Source.
      • To edit, in the Funding Source table, click the appropriate row.
   2. In the Funding Source panel, complete the fields.

   3. To store the information in the table, on the Funding Source action bar, click Save.

      Note: There must be one funding source for each fund code. When adding a new funding source to an existing fund code the original funding source is automatically updated with an end date that is one day prior to the begin date of the new funding source and moved to history.

6. Optionally, to view historical details about fund codes and funding sources for the fund code displayed in the Fund Code panel, in the History panel, review the information:
   • To view fund code details, click Fund Code/Adjusted Authorized History.
   • To view funding source details, click Funding Source History.
7. On the Budget Data action bar, click Save.
