About Maintaining Keywords

Keywords are predefined input values that are displayed on the Letter Generation Request page. Each keyword either represents a field printed on a letter or a value necessary to obtain other values from the database that will be printed on a letter. Keywords are specific to templates. Some examples of keywords are Provider ID, Member ID, Hearing Date, and Address.

Keywords are classified as follows:

• Input Keywords - Used to indicate the information that is printed on a letter. Input keywords can be entered by a user or sent through a batch process. Input keywords require a label be assigned to display on the Letter Generation Request page. Input keywords are not stored in the ND MMIS database.
• Processing Keywords - Used to retrieve data from the ND MMIS database. An example of a processing keyword is common entity ID. This can be used to get name, address, and other related information for an entity.

You use the Maintain Keywords page to add new keywords, make changes to existing keywords, and link keywords to templates. You can also associate keywords with templates on the Maintain Templates page.

For example, a user can link a keyword called Provider ID to a template called PGM-CRM-L001. The field labeled Provider ID is then displayed in the Other Details panel on the Letter Generation Request page.

There are two types of template lists:

• Available Templates - Displays all the templates available for a user to select from and link to a keyword.
• Associated Templates - Displays the templates that have already been linked to a keyword. One keyword can be linked to multiple templates.
