Electronic Document Management System (EDMS) is a subsystem that provides the following functionality:
You use the EDMS Defaults page to set specific values that EDMS uses to automatically create a contact management record (correspondence record and case record) from a document it receives and captures. For example, you can set up specific values for the creation of a correspondence record (CR) when an entity submits a prior-authorization (P-PA) letter. In this case, you define all the values that are automatically populated when the CR is created, such as, category, subject, status, route to, and work unit.
You can also disable the automatic creation of a CR or case record for a document type by selecting the blank value in the EDMS Type field. For example, if you want to stop automatically creating CRs for P-PA Letter, you select the blank value; CRs will not be automatically created.
Note: The Document Type column on the EDMS Defaults page lists documents that are stored in EDMS.
If the imaged document has an existing contact management record number (CRN) associated with it, and the CRN is one of the indexing values, then Contact Management searches for that existing CR to attach the image to it. If the imaged document is new and does not have a CRN, a new contact management record is created through the process described below.
When the ND MMIS automatically creates a new contact management record using the values defined on the EDMS Defaults page, Contact Management processes the transaction and creates a CRN. Contact Management also attaches the document image to the newly created contact management record, associates the record number with the document's page ID, and sends the information back to EDMS.
Additionally, when a CR or case is created through EDMS, it is automatically routed to the user's (listed in Route To field) My CR, or My Case Records inbox. A user does not receive an alert when a new CR/record is created via EDMS. The user only receives an alert when an existing record is updated with an attachment.
Note: The Work Unit field is not editable if the user in the Route To field belongs to only one work unit. It is editable if the user in the Route To field belongs to more than one work unit.
