Each provider organization has a PIN. Organization-based users use this PIN for AVR system access.
Only the provider's Organization Administrator can request a PIN reset or change the PIN for the organization.
The welcome package that is mailed to the provider contains the first PIN information needed for AVR system access.
Reset PINs are automatically generated (as one-time PINs) and mailed to the provider under a cover separate from all other mailings.
First PINs and one-time PINs must be changed when the provider uses them to access the AVR system for the first time.
Providers contact their Organization Administrator when they forget their PIN or their AVR account is locked.
An Organization Administrator for a provider has two ways in which the account PIN can be changed or reset:
Through the AVR (organization-based users and Organization Administrators can both use this option, following policies set up for your organization)
Following policies established for the organization, organization-based users of the AVR can request a new PIN or change the PIN using the AVR menu options.
Through the North Dakota MMIS Web Portal
Organization Administrators can use the Reset AVR PIN option on the Manage Users menu to reset the PIN. This is a one-time use PIN and the user will be prompted to change it the first time it is used to access the AVR. If necessary, organization-based users of the AVR can also call Customer Service to request a new one-time PIN be mailed to them.
Tip: It is recommended that a PIN be changed through the AVR menu option or reset through the North Dakota MMIS Web Portal rather than requesting a new PIN using the AVR menu or calling Customer Service. Changing or resetting a PIN does not require that a letter be mailed to the provider. If the account is not locked, changing the PIN through the AVR system can be done immediately. Or the Organization Administrator can immediately reset the PIN online and then access the AVR system to change the one-time PIN. In either case the new PIN is then distributed to the appropriate individuals in the organization.
Before a provider changes a PIN, they should choose one that follows these rules:
To request a new PIN using the AVR system
Normally, users in a provider organization contact their Organization Administrator to request a new PIN. However, if the Organization Administrator is not available, a user can select the New PIN option after listening to the AVR prompts. The user must know the provider's Medicaid ID and Tax ID (or SSN). A one-time PIN will be mailed to the provider.
To request a new PIN using North Dakota MMIS Web Portal
Customer Service can also request a new AVR PIN be generated and mailed to the provider's Organization Administrator on the Provider Maintenance - Security page.
To change a PIN using the AVR system
Organization Administrators dial the AVR assigned toll free number and select the option to change a PIN. The AVR prompts the Organization Administrator to enter the current PIN, a new PIN, and re-confirm the new PIN. The AVR sends the PIN to ND MMIS. ND MMIS changes, and stores the PIN.
To change an AVR PIN using North Dakota MMIS Web Portal
On the North Dakota MMIS Web Portal main menu, the Organization Administrator for a provider clicks Manage Users, Reset AVR PIN. The Organization Administrator enters a new one-time PIN, re-confirms the new PIN, and then clicks the Change button.
