How to Use Internal Team Messages

The Internal Team Messages panel appears below the My Tasks panel on the internal Home page and is called the Internal Message Center or Internal User's Message Center Inbox. It contains messages sent to you by other team members, groups, supervisors, or staff.

The Internal Team Messages table lists the status, date, sender, subject, and priority of each message. The symbol indicates that the message has a high priority. The open envelope icon () means you have read the message. The closed envelope icon () indicates you have not read the message.

Some internal users with the appropriate privileges can create and send individual messages to internal users and/or providers and trading partners. Others have the ability to send broadcast messages to all internal users and/or providers and trading partners.

All users with access to the Internal Message Center have the ability to view and delete one or more messages at a time. However, if you are an Enterprise Administrator you do not have access to the Internal Message Center.

Note: You use the My Tasks panel to perform certain tasks related to correspondence records, cases, and alerts.

To view and manage message sent to you

1. To view and read messages, on the Internal Team Messages panel, click the date of the message.

2. On the Messages - Read Message panel, do one of the following:

   • To view the attachments for the message, click the appropriate link to open the document.
   • To remove or delete the message from Internal Team Messages, click Delete.
   • To close the message, click Cancel.

To create and send message to others

1. Click Create.

   The Messages - Compose Message panel is displayed.

2. Do one of the following:
   1. To send a message to an individual:

      • Enter the individual's logon identifier in Select Recipient(s).

        Tip: Individual's logon identifier is their user name

      • Select the group the individual is assigned to.

      • Click Search.

        The recipient's name and logon identifier is displayed in the selection list.

      • Repeat if you want to send the same message to another individual.
   2. To send a message to a group of recipients, select the group to whom the message is to be sent.

   Tip: The list of available groups and individuals is determined by your privileges. To select more than one group or individual, press the CTRL key while clicking on each entry in the selection list.

3. To move the group or individual from the selection list to the Send Message To list, select the item, and then click (the right arrows).

   Tip: To move the individual or group from the Send Message To list to the selection list, select the item, and then click (the left arrows).

4. Enter the subject of the message.
5. Select the appropriate severity level for the message.
6. Enter the text message to be sent.
7. Optionally, to add attachments to a message, click Attach.
8. Optionally, to remove an attachment from the message, click Delete.
9. To send the message, click Send.

To delete one or more messages

1. Do one of the following:
   • To delete all messages at once, to the left of the Date column, select the check box.
   • To delete selected messages, in front of each message, select the check box.
2. Click Delete.
